RESERVATION, DEPOSIT AND PAYMENT

Reservation via any form of media (e.g: Email, phone calls or sms) is not valid, hence no booking will be made until a deposit in Singapore dollars is received and acknowledged by AVS, a Tour Booking Form (TBF) or Proforma Invoice (BK) will be generated upon a valid reservation is confirmed. A deposit in Singapore dollars is required upon booking, which will constitute part of the final payment. This deposit does not guarantee the confirmation of the travel package/tour. Full payment will be required 30-45 days before departure date (Luxury Cruise Packages will be based on 100 days before departure date), anytime once the departure date is confirmed; or if the booking is made within 30 days before the departure date (Luxury Cruise Packages will be based on 100 days before departure date) Full Payment is Require, unless otherwise stated. In the event that full payment is not received 30- 45 days before departure (Luxury Cruise Packages will be based on 100 days before departure date), any deposit paid will be rendered non-refundable and AVS reserved the right to cancel the booking.


A minimum deposit is required upon booing based on the tour fare stated below:-

PAYMENT MODE

Payment for Tour Package shall be made by Cash, NETS, or Cheques, unless otherwise stated. If payment by Credit Card, there will be a processing fee charge. Until full payment is made, any tour packages/air tickets/hotel vouchers booked shall not be considered part of client’s property or possessions. Cheques shall only be accepted if paid to AVS at least 10 working days prior to departure. In the event of a defaulted cheque, only cash shall be accepted as alternative payment. In additional, AVS will charge SGD200 administrative fee for the defaulted cheque. Furthermore, AVS reserved the right to cancel the client’s booking.

AMENDMENT CHARGES

For Free Independent Traveller (FIT) Tour Packages

Upon confirmation of the tour any subsequent change made to the reservation is subject to an amendment charge of SGD50.00 per person per change. No Change can be made within 8 working days before the date of departure. Changing the entire reservation constitutes a cancellation of the original reservation and is subject to cancellations charges as defined in the cancellation policy.


For Group Tour Packages

Upon Booking of the tour any changes made to the reservation will be subject to an Amendment Fee in writing. However, any request from any member of any change to come back earlier or later than the group will be subject to the conditions of the respective airlines. Changing the entire reservation constitutes a cancellation of the original reservation.

CANCELLATON & REPLACEMENT CHARGES

In the event that the client decided to cancel any of the products mentioned under the heading “RESERVATION, DEPOSIT AND PAYMENT”, the cancellation must be done in writing and acknowledged by AVS. In the event of a cancellation, the client agrees to the following cancellation charges:

*Note: If a package brochure contains an air ticket component, that entire package shall be 100% non-refundable once the air ticket has been issued. If the client cancels the packages prior to air ticket issuance, or if there is no air ticket component, any cancellation or name change in writing will be based on the appropriate table below.

Should the deposit paid to AVS is not enough to cover the above cancellation fee; the difference in amount is still payable to AVS.

CANCELLATION BY AVS

Please note that AVS is acting as an agent for service rendered. Even after deposit or full payment has been made, all arrangement is still subjected to final confirmation. AVS reserves the right to cancel any tour prior to departure for any reason whatsoever, including but not limited to an insufficient number of participant. If for foreseeable circumstances the arrangement cannot be finalize and has to be cancelled, AVS will endeavour to customer at least 1 week before departure. At times, due to low subscription, AVS may choose to cancel the entire tour 14days prior to departure. In the case of “Free and Easy” packages, accommodations and al services are subjected to confirmation. AVS may recommend alternatives if available. Please note that surcharges may apply, on a case by case basis and the customer will be advised accordingly. Should the customer decided not to accept the alternative, all refund (exclude Visa Fee and air ticket cancellation charges, in the event that the air ticket has been issued under client’s consent) will be made accordingly by AVS and without further obligation. AVS shall not be held liable for any further responsibilities. The customer shall receive the refund within 4 to 6 weeks upon the company notifying the client of the tour cancellation.

TRAVEL DOCUMENT

It is passenger’s responsibility to obtain an international passport valid for at least 6 months from the date of return to country of origin. All passengers are responsible for their relevant visas, current health certificates and necessary documents as required by the various government authorities of the countries to be visited. Please consult your local consulate/embassy on visa requirements. AVS will not be held responsible or liable for any expenses, reimbursement or refund of tour prices if any passenger is refused entry by any country before departure or during the tour for whatsoever reason, including but not limited to non-possession of necessary visas. Service of visa application is available with service charges and visa fees levied shall be borne entirely by tour members. However, AVS is not guarantee the approval of any visa application. In any case that visa application is not approved, service/visa/handling fees is not refundable.

RESPONSIBILITY & LIABILITY

All arrangements for the provision of transport, accommodation, sightseeing and other services are made by AVS. All exchange orders, receipts, contracts and tickets issued by AVS are subject to any tariffs and/or terms and conditions under which any accommodation, transportation and other services whatsoever are provided by service providers including, but not limited to hotels, transport companies, airlines, railroad lines, steamship lines and owners of contactors concerned. By acceptance of such exchange orders, receipts, contracts and tickets, and the client is deemed to have agreed to the aforementioned service providers’ terms and conditions. Every person participating in any tour/holiday organizes by AVS shall be regarded as carrying his own risk with respect to loss or injury to person or property. * The client accepts full responsibility for losses and expenses due to delay, sickness, weather, strikes, war, quarantine or acts of God. AVS shall not be held liable for the deportation or refusal of entry by immigration authorities of tour members resulting from improper travel documents, possession of unlawful items or irregularities that may be caused to person or property. Passengers are solely responsible for all proper travel documents. AVS is only an acting agent for the holiday components and will not be held liable for any charges, acts of discretion or inconvenience caused by our suppliers and appointed agents. AVS or their employees or agents shall not be held liable for any causes or events occurring outside its reasonable control or from any act or omission of the client. AVS or their employees or agents shall not be held liable in the event of any loss, damage, injury or death suffered by the client during the tour/holiday in question. AVS reserves the right to alter any route, itinerary and/or accommodation without prior notice if deemed necessary or in the event of force majeure. Any limitations which apply to the carrier’s liability in respect of air transport as a result of the Warsaw convention (in amended or unamend form) shall apply for the benefits of the organizer, and the seller of the tour.

FREQUENT FLYER PROGRAM

Mileage accumulation is subject to individual airline policies. AVS shall not be held liable for any discrepancies arising from this matter.

COMPLAINT/CLAIM

Any complaint/claim has to be made in writing within 14 days from the date of return. NO responsibility is accepted afterwards

TOUR FARE INCLUSIONS (GROUP PACKAGES ONLY)

The tour fare includes return group air ticket, accommodation on a twin-sharing (2 to a room) arrangement or triple sharing (3 to a room) (otherwise single room supplement charges apply), admission fees, meals and sightseeing programme as stipulated in the tour itinerary (the duration of the tour package includes the day of scheduled departure and the day of scheduled return and neither of these are full days). Prices shown are current at the time of publication. Tour information and the price list from part of brochure. The prices are subject to change due increase in airfare, other transportation costs, hotel rates, exchange rates, government tax. Etc. Therefore AVS reserves the right to increase prices on condition that it informs the customer accordingly before the confirmation of the tour. For group of three people, accommodation is based on triple sharing basis where applicable. The child tour fare as advertised is based on a child who is 2 years but not more than 12years of age, sharing a twin room with 2 adults. All sightseeing tours and transfers are based on sit-in-coach basis.

TOUR FARE EXCLUSIONS (GROUP PACKAGES ONLY)

The tour fare excludes airport taxes, airport security tax, airline insurance surcharges, airline fuel surcharges, visa fees, port tax, service fees as specified by the airline or airport authorities, where applicable custom user fees. Nordic environment tax, all domestic flights (for land tour packages), excess baggage charges, room services, beverage charges, laundry charges, travel insurance, gratuities to driver/tour guides/leaders, tips to hotel porter and all items of personal nature.

REFUND OF UNUSED SERVICES

No refund or reduction will be made to any member in respect of airfare, accommodation, meals, sightseeing tours, transport or any other services which are included in the tour fare but not utilized by the tour member due to personal reasons. All refund applications require a minimum 2 months to process. The refund amount will be paid to the lead passenger via the same payment mode that payment has been collected from client. A reissue fee of SGD30 per cheque will be imposed if the client gives a name not acceptable by the bank or if the cheque validity expires due to non-collection.

BAGGAGE/PERSONAL POSSESSIONS

Free airline baggage allowance is provided by the airlines and the quantum and conditions may differ from one airline to another and from one airport authority to another. The same applies for hand carried baggage aboard the aircraft. The travel agent will advise passengers on the conditions. Passengers are required to purchase adequate insurance coverage. AVS assumes no responsibility for any loss or damage to baggage or belongings (checked in or hand carry) whilst they are in the custody of the airlines, other transportation companies, and accommodation suppliers (during your stay in the hotel inclusive of items kept in the safe deposit box or in your possession). However, AVS will assist you in making the relevant claim provided it does not interfere with, inconvenience or hamper the conduct of the tour or other members of the tour group.

POSSIBLE CHANGES

Airlines schedules or local conditions may require sightseeing tours, hotels and route to be change. Should this occur, the company shall make alternative arrangement subject to local conditions. For the convenience of all members of the tour group, clients may be asked to change their seating arrangements on the tour coach or other land transport during the period of the tour itinerary. Please cooperate when called upon to do so by the tour guide or leader. AVS reserves the right to revise all prices without notice due to the following reasons (but not limited to these): currency fluctuations, increases in airfare, hotel rates, other transport costs, government taxes and local taxes. Unless otherwise stated, the tour price excludes pre/post tour accommodation, laundry, room service, unspecified meals or tours, beverages, portages, excess baggage charges, passport and visa costs, airport taxes, war insurance, fuel surcharges, personal and baggage insurance, service charges, country-specific local taxes like onsen tax and bed tax, tips and all other items of a personal nature.

EXTENSION AND DEVIATION

Extension of stay at the end of the tour is permitted, subject to the maximum validity and restrictions of the air ticket. Any additional charges imposed by the airlines or tour operators will be borne by the client(s). Flight and accommodation reservations during the client’s extended stay should be made prior to tour commencement. Extensions are at the client’s own expense and no transfers will be provided.

*For chartered packages, extensions and deviations are not permitted.

ITINERARY CHANGES

Airline schedules and local conditions may affect accommodation and routing. Should this occur, AVS will endeavour to substitute a suitable arrangement or similar value. Wherever possible, all changes will be announced before departure. If AVS deems it necessary to change accommodation or a portion of your itinerary after your holiday has commenced, we will strive to maintain the overall standard of the holiday arrangement. However, AVS reserves the right to make changes at any time without compensation. No compensation will be made as a result of force majeure. (i.e. unforeseen circumstances beyond human control, e.g. war, civil strike, earthquake, floods etc.)

RIGHT TO REJECT

AVS reserves the right to cancel or withdraw any itinerary or booking made for a client. AVS reserves the right to decline or to retain any person as member of the tour if it appears that such person(s) is likely to endanger the health or safety , or impair the comfort and enjoyment of others on the tour. AVS further reserves the right to cancel any reservations if, for any reason whatsoever, any carrier, hotel or contactor refuses to allow the person concerned to participate in the tour. In any of the above mentioned events, AVS’s sole liability shall be limited to a refund of any payment made, less the amount for services already utilized and all administrative fees.

HOTEL ACCOMMODATION

Hotel used is as reflected in the brochure. In the event that accommodation in the selected hotel is not available, every effort will be made to source for an alternative hotel of similar standard. Unless specifically mentioned, all room swill be on ‘run-of-house’ basic. Accommodation for adults is based on twin or double sharing. When booking triple-sharing rooms, please take note that the extra bed may be a ‘roll-away’ bed. Triple sharing for all tours shall be subject to availability and request only.

SPECIAL REQUEST

Any request including, but not limited to, seats, speacila meals, dietary requirements and adjoining rooms should be relayed to AVS upon booking. Such requests are subject to confirmation and availability and the client agrees to hold AVS harmless in the event that such request cannot be met

CONFIDENTIALITY OF INFORMATION

AVS will treat every transaction as confidential and will not disclose any information without the client’s permission, unless required by law.

RESPONSIBILITY OF COMPANY

The company and its associated agents shall be held responsible for services provided with regard to transportation, accommodation, entertainment and meals, as indicated in their brochures. The investigation, the Commissioner is satisfied that the services provided were not as stated in the brochure and in the agreement.

TRAVEL INSURANCE

All tour members are strongly encourage buying travel insurance to safeguard themselves against sickness, loss of money, cancellation, flight delays or lost baggage before departure.

NOTE: AVS reserved the right to publish or print any photographic materials which taken during the said tour for commercial use.
